Job Description:CLOSING DATE 29 March 2024.NOTE: Please ONLY apply if you have sufficient experience and skills required as per job description below.Job Summary:The payroll administrator's responsibility is to ensure the Middle East & North Africa Payroll Team can process in a timely, accurate and compliant manner all in-scope processing countries in adherence to the specific country payroll calendars.DUTIES & RESPONSIBILITIES:
  • Prepare and process employees' final settlement or EOSB, ensuring the calculation is as per the respective country's law.
  • Process GOSI invoices for entities in Saudi, then share details for each with respective Finance team.
  • Initiate E-Cheques in bank portal for Iraq SSPC filling on monthly basis.
  • Follow up with Deloitte team in Iraq for the quarterly/Annually Employment Tax.
  • Work closely with HUB Central team to get needed monthly reports such as: EDR (Employee Details Report) & New hires and termination report to update payroll files accordingly.
  • Extract Kronos Timefile on payroll cut off date to include monthly supplemental pay in the payroll.
  • Maintain and update Excel-payroll work files to be main sources in filling ADP-Flexiforms.
  • Adhere to the approved payroll calendar with ADP to ensure smoothly payroll processes on monthly basis.
  • Ensure all payroll payments must be done through ADP Celergo.
  • Administrating the countries assign by the payroll supervisor- on a day-to-day basis, ensuring the team is equipped to meet the needs of the payroll service provision.
  • Payroll Planning and Processing
  • Gathering and preparing all information needed to timeously perform accurate payrolls.
  • Data and movement reconciliations.
  • Banking platform imports for approval
  • Payslip Distribution
  • Follow up on missing supervisor approvals.
  • Internal Systems reconciliation.
  • Various reconciliations for Management and Auditors
  • Hub to Payroll Recon.
  • Statutory payments and returns submissions.
  • Journal to Finance for cost allocations.
  • Payroll GL control account reconciliation.
  • Tax reconciliations and submission (follow up and follow through)
  • Monthly statutory submissions to local authorities
  • Systems Maintenance and Control
  • Payroll software updates
  • Liaise with system service providers to address challenges and improve system efficiency.
  • External and Internal Audit support. Provide records requested by auditors.
  • Legislation Implementation and Compliance.
  • Knowledge and accurate interpretation of legislation, contracts of employment and conditions of employment which impacts payroll.
  • Constantly keep up to date on current statutory regulations and in country negotiations.
  • Continuous improvement - Individuals and Systems.
  • Payroll Policies and Procedures Implementation and Compliance.
  • Communication, General Administration and Record Keeping
  • Ensure all payroll adjustments are filed in the relevant period for processing and record keeping.
  • Safe keeping of all confidential documentation
EXPERIENCE/EDUCATION/SKILL-SET REQUIRED:
  • Minimum Diploma in Human Resources / Payroll or related field.
  • Minimum 1-3 years' experience of processing payrolls in Saudi Arabia/Middle East.
  • Able to understand, evaluate payroll data.
  • Maintain strict confidentiality.
  • Proficient in English both written and verbal.
  • Be willing to provide colleagues with the information they need to complete their tasks and eliminate roadblocks.
  • Confident and professional when representing the company in person and in writing.
  • A strong sense of customer focus (internal/external).
